Workspaces & Projects
What Are Workspaces?
Workspaces are top-level containers for organizing your work. Each workspace has:
- Documents and files
- Agents and automations
- Team members
- Settings and integrations
Create a Workspace
- Click Workspaces in the left sidebar
- Click New Workspace
- Enter workspace name and description
- Choose privacy: Private or Shared
- Click Create
Workspace Types
Private Workspace
- Only you can access
- Use for personal projects
- Ideal for testing
Shared Workspace
- Invite team members
- Collaborate on documents
- Control permissions per member
Projects
Organize documents within a workspace using projects:
- In workspace, click New Project
- Enter project name
- Create folders and subfolders
- Upload documents

Invite to Workspace
- Go to Settings → Members
- Click Invite Member
- Enter email address
- Select role (see table below)
- Send invite
Roles & Permissions

Edit Member Role
- Go to Settings → Members
- Select member
- Click Change Role
- Choose new role
- Save
Remove Member
- Go to Settings → Members
- Click Remove next to member
- Confirm
Workspace Settings
Rename Workspace
- Settings → General
- Click Edit next to name
- Enter new name
- Save
Delete Workspace
⚠️ This cannot be undone!
- Settings → Danger Zone
- Click Delete Workspace
- Enter workspace name to confirm
- Delete
Best Practices
Organization
- One workspace per project - Keep related work together
- Use projects for phases - Q1, Q2, Q3, Q4
- Create subfolders - Organize by document type
Naming
✅ Good names:
- Customer Onboarding
- Legal Contracts 2024
- Q1 Financial Reports
❌ Poor names:
- Work
- Files
- DocumentsPermissions
- Principle of least privilege - Give minimum required access
- Review regularly - Remove inactive members
- Use roles - Don't give admin unless needed
Sharing Documents
Share Entire Project
- Open project
- Click Share
- Select members or create link
- Set permissions (View/Edit)
- Send
Share Individual Document
- Open document
- Click Share
- Add people or create link
- Set expiration if needed
- Share
Public Link
Share documents outside your organization:
- Click Share
- Select Create Public Link
- Set permissions (View only recommended)
- Copy link
Archiving
Archive old workspaces and projects:
- Select workspace/project
- Click Archive
- View archived items: Settings → Archived
Archive benefits:
- Keeps workspace uncluttered
- Preserved for reference
- Easy to restore if needed
Workspace Switching
Quick switch between workspaces:
- Click workspace name in header
- Select from dropdown
- View workspace contents
Or use sidebar to navigate multiple workspaces.

Troubleshooting
Can't Create Workspace
- Check workspace limit for your plan
- Upgrade to Pro for more workspaces
Member Can't Access
- Verify invitation was accepted
- Check role has required permissions
- Try signing out and back in
Storage Full
- Archive old projects
- Delete unused documents
- Upgrade plan for more storage
