Workspaces & Projects

What Are Workspaces?

Workspaces are top-level containers for organizing your work. Each workspace has:

  • Documents and files
  • Agents and automations
  • Team members
  • Settings and integrations

Create a Workspace

  1. Click Workspaces in the left sidebar
  2. Click New Workspace
  3. Enter workspace name and description
  4. Choose privacy: Private or Shared
  5. Click Create

Workspace Types

Private Workspace

  • Only you can access
  • Use for personal projects
  • Ideal for testing

Shared Workspace

  • Invite team members
  • Collaborate on documents
  • Control permissions per member

Projects

Organize documents within a workspace using projects:

  1. In workspace, click New Project
  2. Enter project name
  3. Create folders and subfolders
  4. Upload documents

Team Members

Invite to Workspace

  1. Go to Settings → Members
  2. Click Invite Member
  3. Enter email address
  4. Select role (see table below)
  5. Send invite

Roles & Permissions

Edit Member Role

  1. Go to Settings → Members
  2. Select member
  3. Click Change Role
  4. Choose new role
  5. Save

Remove Member

  1. Go to Settings → Members
  2. Click Remove next to member
  3. Confirm

Workspace Settings

Rename Workspace

  1. Settings → General
  2. Click Edit next to name
  3. Enter new name
  4. Save

Delete Workspace

⚠️ This cannot be undone!

  1. Settings → Danger Zone
  2. Click Delete Workspace
  3. Enter workspace name to confirm
  4. Delete

Best Practices

Organization

  • One workspace per project - Keep related work together
  • Use projects for phases - Q1, Q2, Q3, Q4
  • Create subfolders - Organize by document type

Naming

✅ Good names:
- Customer Onboarding
- Legal Contracts 2024
- Q1 Financial Reports

❌ Poor names:
- Work
- Files
- Documents

Permissions

  • Principle of least privilege - Give minimum required access
  • Review regularly - Remove inactive members
  • Use roles - Don't give admin unless needed

Sharing Documents

Share Entire Project

  1. Open project
  2. Click Share
  3. Select members or create link
  4. Set permissions (View/Edit)
  5. Send

Share Individual Document

  1. Open document
  2. Click Share
  3. Add people or create link
  4. Set expiration if needed
  5. Share

Share documents outside your organization:

  1. Click Share
  2. Select Create Public Link
  3. Set permissions (View only recommended)
  4. Copy link

Archiving

Archive old workspaces and projects:

  1. Select workspace/project
  2. Click Archive
  3. View archived items: Settings → Archived

Archive benefits:

  • Keeps workspace uncluttered
  • Preserved for reference
  • Easy to restore if needed

Workspace Switching

Quick switch between workspaces:

  1. Click workspace name in header
  2. Select from dropdown
  3. View workspace contents

Or use sidebar to navigate multiple workspaces.

Troubleshooting

Can't Create Workspace

  • Check workspace limit for your plan
  • Upgrade to Pro for more workspaces

Member Can't Access

  • Verify invitation was accepted
  • Check role has required permissions
  • Try signing out and back in

Storage Full

  • Archive old projects
  • Delete unused documents
  • Upgrade plan for more storage
